    ORGANIZATION: Partners For Quality
    DEPARTMENT: Administration
    POSITION: Board Liaison and Executive Administrator
    STATUS: Full Time; 37.5 hours / week
    HOURS: 8:30 AM to 4:30 PM; Monday - Friday
    LOCATION: Robinson Township
    SALARY / WAGES: $48,000 - $52,000 / DOE

    Partners For Quality, Inc. is a private, non-profit social services organization based in Robinson Township. We are the administrative parent company to 5 subsidiaries and are responsible for the Fiscal, Payroll, HR, IT and support services to each. Our subsidiaries include Allegheny Children’s Initiative, Citizen Care, Exceptional Adventures, Milestone Centers and the PFQ Foundation.  Through these subsidiaries, we provide community-based supports and services to adults and children with intellectual disabilities and behavioral health challenges in Allegheny County. 
    The Board Liaison and Executive Administrator is responsible for providing high-level, confidential administrative support to the Chief Executive Officer (CEO) of Partners For Quality, Inc.  Duties may be clerical, administrative and project-based and include scheduling travel, arranging meetings, handling information requests, preparing reports and correspondence and liaising with board members. Primary duties include, but are not limited to:
    Board Liaison
    Serving as the primary contact for all of Partners For Quality Board and board committee members, the Board Liaison will provide a bridge for smooth communication between the Board of Directors and the CEO. This position will partner closely with the CEO and the executive team to ensure that the Board of Directors’ needs are handled efficiently, discreetly and thoughtfully and is heavily focused on both oral and written communications, calendar management, executive logistics, presentation creation, and other types of high-level project management. Specifically, the Board Liaison will manage the full portfolio of governance - related matters and documentation.
    • Supervise all administrative support assigned to board activity
    • Prepare board and committee meeting notices and draft agendas
    • Coordinate the preparation of board materials and presentations
    • Act as support staff for the board chair and chairs of all board committees
    • Function as the Executive Liaison to assigned Committees
    • Track compliance and disclosure obligations, record-keeping and documenting decisions
    • Oversee both on and off-site board and committee meetings and retreat arrangements, including travel plans, food and lodging
    • Attend meetings, take minutes and distribute drafts to board chair and committee chairs
    • Assist the board chair and the CEO with schedules of the full board and board committees
    • Advise directors and management on governance best practices
    • Responsible for administration and facilitation of the board’s governance processes and policies
    • Periodic audit of the board’s governance processes, policies and practices
    • Maintain an updated trustee skills/competencies matrix for succession planning
    • Assist in selecting potential trustee candidates
    • Annually assess the composition of the board and each board committee with the appropriate board and committee chairs
    • Assist with conducting annual performance evaluations of the board individually and as a whole
    • Assist with the development and monitoring of annual board and committee enhancement goals
    • Monitor compliance and consistency with committee charters
    • Develop, coordinate and facilitate director onboarding
    • Develop and implement an annual plan for on-going board and committee education
    • Maintain all documentation and correspondence
    • Maintain record-keeping for subsidiary organizations
    • Provide summary materials to officers and directors as needed
    Executive Administrator
    • Confidential assistant to the Chief Executive Officer / Executive Team
    • Manage assigned staff and their designated responsibilities
    • Maintain administrative files
    • Coordination of special projects as assigned
    • Assist other administrative staff with special support needs as may be required
    • Maintain all Corporate / Subsidiary Manuals as assigned
    • Maintain weekly administration building and conference rooms schedules
    • Assuring information processed is kept confidential
    • Assuring teamwork and cooperation in dealing with management, others within the Agency, and external stakeholders
    • Coordinate word processing computer operations
    • Understanding of and compliance with all organizational Policies and Procedures
    • Membership on assigned Committee(s), and volunteerism at all corporate events
    1. High School Diploma required; Associate or Bachelors degree preferred
    2. Eight (8) years Executive Administrator experience with 2 years of supervisory experience
    3. Five (5) years Board support, Board relationship or Board development work
    4. Excellent computer skills, including word processing, software presentation and data management
    5. Experience in Human Services field preferred
    6. Excellent interpersonal and communication skills, both verbal and written
    7. Strong analytical, critical thinking and organizational skills
    8. Excellent references, both personal and work
    9. Valid Driver’s License and use of personal vehicle
    10. Act 33, 34 and FBI Clearances
    $48,000 - $52,000 / DOE
